Each replacement carries the setup the practice approved: the practice management client, the imaging viewer, the printer and card-reader drivers. We record by serial number which setup is on which unit.

Disk encryption, screen lock, audit logging and asset tagging are applied before a device is staged at the location.

A failed or retired device is erased at the hub, certified to NIST 800-88, and the certificate is filed against the serial number before disposal.

Scenario / Swap - Front desk, mid-schedule
The office lead badges into the locker at the location and pulls the staged replacement, already carrying the approved setup. The failed unit goes into the locker for return. Surya replenishes the used slot the next business day and manages the failed unit through repair, warranty, certified erasure or retirement.
Scenario / Multi-location - Practice operator, many sites
Each location has its own locker and its own staged replacements, so the fix does not depend on someone driving. The operator sees every site, every slot, every swap and every return in one record, by serial number.

The locker sits in the office with badge access, stocked with the devices that stop the schedule when they fail. Something fails, someone badges in, takes the replacement, and the next patient is checked in.
Backup inventory sits at the Surya RTP distribution center. Failed equipment returns through the controlled chain. Surya provides and operates the locker. The customer purchases and owns the replacement devices inside it.

The intraoral sensor, the retinal camera and the ultrasound stay the practice's own regulated devices, managed by the vendor that supplies them. Surya covers the workstation they plug into, the printer beside it and the front-desk machine the schedule runs on. Regulated clinical devices are not staged in the locker and are not moved by Surya.
