Surya keeps preconfigured replacements for charting, printing and check-in devices in an on-site badge-access smart locker on the floor. Staff swap the failed device in minutes. Surya replenishes the locker and manages the failed device from return through repair, warranty, certified erasure or retirement.

Your approved setup, kept ready

Each replacement carries the setup your clinical technology team approved: the EMR client, the imaging viewer, the printer drivers. We record by serial number which setup is on which unit. The hospital defines the standard; Surya keeps a working copy of it in the building.

Locked down before it enters the locker

Disk encryption, screen lock, audit logging and asset tagging are applied before a device is staged. The device in the locker is the device your standard describes.

Certified erasure to NIST 800-88

A failed or retired device is erased at the hub, certified to NIST 800-88, and the certificate is filed against the serial number before disposal.

Receiving, staging, swap, return, repair, retirement: every device and every handoff is recorded by serial number, under a signed business associate agreement.

Scenario / Swap - Nursing station, mid-shift

A charting workstation goes dark during a shift.

The nurse or the unit lead badges into the locker on the floor and pulls the staged replacement. It carries the approved setup. The failed unit goes into the locker for return. Surya replenishes the used slot the next business day and manages the failed unit through repair, warranty, certified erasure or retirement.

Scenario / Return - Departures and retirement

A device leaves the hospital's population.

The device is returned through the locker on a tracked label, erased at the hub to NIST 800-88, and the certificate is filed against the serial number in the hospital's asset record. The retirement is documented and the record is closed.

The locker on the floor.

The locker sits in the building with badge access, stocked with the devices that stop a unit when they fail. Something fails, someone badges in, takes the replacement, and charting resumes.

The distribution center behind it

Backup inventory sits at the Surya RTP distribution center. Failed equipment returns through the controlled chain. Surya provides and operates the locker. The customer purchases and owns the replacement devices inside it.

We work up to the port, not past it.

The ultrasound, the cardiac monitor, the infusion pump and every other FDA-regulated clinical device stay the hospital's own vendor-managed equipment. Surya covers the computer it plugs into, the printer beside it and the workstation the nurse charts on. Clinical devices are not staged in the locker and are not moved by Surya.

A controlled continuity exercise at one site. We stage a replacement, simulate a failure, then follow the immediate swap: Obviously dead: straight to the locker. Might come back: a 30-minute restoration window, then the locker. Complete the guided swap and document the custody chain.
